Sage 50 - Setting up Sage Remote


To set up Sage Remote in Sage 50 Accounts, you need to follow a series of steps to enable remote access and connect users1. This feature allows you to share your company data and access it from a remote location.

Before you begin the setup process, ensure you meet the following prerequisites:

You must be using Sage 50 Accounts v27 or above.

You need an active Sage 50 Accounts subscription.

A stable internet connection is required, specifically a broadband connection with at least 4Mbps download speed and 2Mbps upload speed45. You can check your internet speed using sites like www.speedtest.net.

Important Notes Before Setup:

RDA is not recommended as an alternative to your local area network (LAN)4.

RDA is not a data backup service; you must continue to take regular backups of your data.

Step-by-Step Setup Process:

Back up your data.

Open the desired company in Sage 50 Accounts.

Click File, then Back up.

Note the suggested file name or edit it as needed.

Click Browse to choose a save location, then click OK.

Select all file types to include in the backup, or choose specific ones like data files, reports, and layouts. Daily data backups are recommended, while layouts and reports can be backed up less frequently.

Click OK. If prompted to check your data, click Yes, then Close, then OK.

Allow Sage Remote Data Access.

Open Sage 50 Accounts and log in as the MANAGER user.

Click Settings, then User Management, and then Users.

Click the MANAGER user, then click Edit.

Select the Allow Remote Data Access checkbox. You will need to confirm your details and click Continue.

If you are unable to select this checkbox, it means your company data isn't yet linked to your Sage account. Click Get started now with your Sage account and follow the on-screen instructions.

Enter your first and last name, then click Yes, I am the right person.

Confirm your company information and click Continue.

Log in with your existing Sage account details, or click Create account to sign up for a new one. These are the same credentials used to access your payslips or mysage.com.

Once linked, you can select the Allow Remote Data Access checkbox and click Continue.

Create a Passphrase.

You will be prompted to enter and confirm a Passphrase15. This passphrase must be at least 15 characters long and include at least one uppercase and one lowercase character, with no maximum length.

Store this passphrase in a secure location, as anyone needing remote access to the company data will need to enter it.

Click Save.

If you forget your Passphrase, the MANAGER or data owner can view it in Sage 50 Accounts by navigating to Remote Data Access Settings and clicking Show Password/Passphrase.

Once these steps are completed, your data can be accessed via Remote Data Access. All changes made to your data will automatically upload to the cloud and sync regularly with all connected locations, ensuring everyone works on the latest version.


Next Steps After Setup:

Give remote access to existing users: Enable them to access the company data remotely.

Create new users with remote access: Set up new users and grant them permissions for remote data access. For every additional user, a separate Sage Account must be created.

Access company data remotely: Connect to your data from another machine. To do this, open Sage 50 Accounts, click Add Company, select the Download option, enter your Sage account details and the Passphrase, then click Download....

NOTES:

If you encounter issues such as "No Internet Connection", ensure you have sufficient internet speed and that your antivirus and firewall settings are configured correctly to avoid conflicts.

You may need to restart the computer holding the data or even reset RDA as a last resort.

Ensure you have followed the Sage guidance on Firewalls and Anti-Virus configuration.
