Imagine life without telephones, fax, telex, email. Communication would be difficult to say the least.  Modern telephony optimises the use of these tools and deters abuse.

Telephone systems, modern telephone systems offer high quality and high speed, using the TAPI standard they enable your computer to talk with them and pass additional information and controls to users via the network and their PC’s.

A full telephony system with a telephony server, telephony switch and CTI (computer telephony integration) can provide these sorts of features. 

Multiple phone numbers, these can be used to give each person their own phone number for their extension saving time answering and transferring calls.  They can be used to track the source or type of an enquiry by using different numbers in different places and for fax to desk.

Voicemail if you need to concentrate then you can route calls to voice mail or an operator and control your interruptions.

Automated Attendant, out of hours; people calling can connect to users and leave messages.  Custom scripts can collect information from callers in structured manner for brochure ordering and similar unattended spoken data collection.

Fax to Desk you assign a fax number to each user, all faxes are routed via one of the three fax units inside the communications server, it emails the fax as an image to the users mailbox.

Fax Back can send faxed information back to callers users are greeted by an automated attendant and are guided to make their choice or can enter a code, information if faxed back to them. 

Outbound Fax simply print a document to the fax printer, unlike some systems that ask for the fax number, this one simply looks in the text of the document for a keyword (normally “fax to”) and uses the number following it!

Email using the ISDN capabilities of the phone system the telephony server will regularly collect and redistribute mail for your entire company through a single dial up account.

SMS send and receive text message at your desk.

Integrated Messaging brings everything together in one place so you can telephone the server and listen to voice mails, SMS messages, and emails.

Internet Access via ISDN is available on most modern systems, this can be used as a fall back if the primary (broadband) connection fails or can be used as a primary connection if broadband is unavailable.

Abuse Tools Unfortunately there are some people who will attempt to abuse their time and the telephony resources available to them.  The telephony server, provides logging of incoming and outgoing telephone calls, the cost of the calls and the users time can be estimated. Email in and out is logged, limits can be placed on the size of attachments.  Internet surfing is measured and reported on.  Individual sites can be permitted or blocked.  Content filtering can alert administrators when key words are encountered and block pages.  

Cost control: in some situations such as Serviced offices, Hotels, Colleges and Hospitals, individual accounts can be limited, once the limit is reached no further calls can be made, you can also have account information and call cost information this can be either displayed on the phone or spoken via the voicemail system.  Pay as you go systems can be implemented allowing pre-paid use of telephones. 

Screen popping of your contact management software with the details of the person calling (worked out from the CLI), the details are on the screen before you answer the call.
